1. Who we are and when this policy applies
EngagementScores (also referred to as Engagement Scores, “we,” “us,” or “our”) provides tools for collecting and understanding customer, client, and employee feedback. This Privacy Policy explains how we handle personal information when you visit our website, contact us, use our services, or respond to a survey we host.
We are responsible for information used to manage our website, inquiries, and customer relationships. When an organization uses EngagementScores to run a survey, that organization generally decides why the information is collected, which questions are asked, who receives results, and how long the results are needed. We process that survey information on its behalf, subject to its instructions, our agreement, and applicable law. The organization’s own privacy notice also applies.
Questions and privacy requests can be directed through our contact page. Our Terms of Service govern use of the website and services.
2. Information we collect
- Information you provide: your name, email, organization, inquiry, support correspondence, and other details you choose to send us. Our demo inquiry form also asks which audience you would like feedback from.
- Customer and service information: contact and authorized-user details, service arrangements, account information where applicable, and billing or transaction records associated with an order.
- Survey information: answers, ratings, written feedback, submission times, and the information requested by a survey organizer. Depending on the survey, this may include team or demographic details and identifiers supplied by you or the organizer.
- Technical information: IP addresses, browser and device information, requested pages, timestamps, and diagnostic or security records generated when you connect to the website or services. Live forms may also retain technical submission metadata.
Information comes from you, the organization that administers your survey or account, and the systems that deliver and protect the service. Required fields are identified on the relevant form. You may leave optional fields blank; without required details, we may be unable to respond or provide the requested service.
Please do not submit passwords, payment-card details, medical records, confidential legal-case information, or other sensitive information through a general inquiry or an open-ended survey response.
3. How and why we use information
We use information to respond to inquiries; provide and administer agreed services; collect survey responses and present results to the survey organizer; support customers; manage billing and business records; diagnose problems; protect the service against misuse; and comply with legal obligations or resolve disputes.
Where data protection law requires a legal basis, we rely on performance of a contract or steps you request before entering a contract, our legitimate interests in operating and securing the service and communicating with business contacts, compliance with legal obligations, or consent where required. Where the customer is the controller of survey information, that customer is responsible for establishing its legal basis.
You can withdraw consent for processing that relies on consent without affecting earlier lawful processing. You may object to processing based on legitimate interests as provided by applicable law. A privacy notice is not a request for blanket consent.
4. Live surveys, anonymity, and public examples
Live surveys collect responses. The organization that invited you can receive the answers and reports associated with its survey. Authorized administrators and service providers may access data as needed to operate and support it. A survey that does not request your name or email is not necessarily anonymous: written answers, small groups, team details, timestamps, or technical records can make a person recognizable.
Review the survey introduction and the organizer’s privacy information before responding. Ask the organizer about access, confidentiality, retention, and how results will be used. Avoid identifying yourself or another person in written feedback unless that information is needed and you are comfortable providing it.
The two public survey examples are demonstrations. Answers in the Customer experience and Employee pulse examples stay in the open page’s memory and are not submitted to us or stored in a database. Completing, restarting, reloading, leaving, or restoring the example through browser history clears those answers. This behavior does not apply to live surveys. Loading an example still creates ordinary requests to hosting and security systems.
5. Who may receive information
We disclose information as needed to:
- Your survey or account organization, for the responses, reports, and administration it controls.
- Service providers, including hosting, infrastructure, security, email, and technical support providers involved in delivering the service.
- Professional advisers and authorities, when needed for legal advice, compliance with a lawful request, protection of rights, or prevention of fraud or harm.
- A successor to the business, in connection with a merger, acquisition, or transfer of relevant assets, subject to applicable privacy obligations.
- Other recipients you authorize, when you ask us to share information.
The marketing website runs on WordPress hosted by WP Engine. Its inquiry form uses Gravity Forms to save submissions in the website database and send a notification to our team’s email. The receiving mailbox holds a separate copy. Access to either system can provide access to your inquiry. Gravity Forms is the form software; using it does not, by itself, mean your response is sent to the software vendor.
We do not sell personal information or share it for cross-context behavioral advertising. Customer survey responses are used to provide and support the service, not to build advertising audiences.
6. Cookies and similar technologies
The website’s marketing design serves its fonts and illustrations locally and does not add advertising pixels or third-party analytics. WordPress, form functionality, and hosting or security services may use cookies or comparable technologies for authentication, functionality, and protection against abuse. The public survey examples do not save answers in cookies, local storage, or session storage.
You can manage or delete cookies through your browser. Blocking necessary cookies may affect sign-in or other functions. If we introduce optional tracking that requires consent, we will provide the required choices before activating it. The absence of advertising tracking does not prevent hosting and security systems from processing page requests.
7. How long information is kept
Retention depends on the purpose of the information, the duration of the customer relationship, the organizer’s instructions, and applicable recordkeeping or legal requirements. Inquiry records and related email are retained while needed to address the request and manage follow-up. Customer and transaction records may need to remain longer for accounting, legal claims, or compliance.
Live survey retention is governed by the customer’s service arrangements and instructions, subject to legal obligations. Closing a browser does not delete an already submitted response. Deleting a website entry does not automatically delete a notification email or a backup copy. Backups and security records follow their own operational retention cycles and may remain after active records are removed.
We delete or de-identify information when it is no longer needed for these purposes, subject to legal holds and backup limitations. You may ask about retention or request deletion through our contact page. If the information belongs to an organization’s survey, contact that organization first.
8. Security and international processing
We use administrative and technical measures intended to protect personal information, including controlled access to the systems used to operate the service. No website, transmission method, or storage system can be guaranteed completely secure. Keep account credentials private and report suspected unauthorized access through our contact page.
Information may be processed in countries other than your own through the systems and providers used to deliver the service. Those countries may have different privacy laws. Where applicable law restricts a transfer, an appropriate lawful transfer mechanism is required, such as an adequacy decision or approved contractual safeguards. Contact us for information about processing locations and safeguards relevant to your service.
9. Your choices and privacy rights
Depending on where you live and which laws apply, you may have the right to access or obtain a copy of personal information, correct inaccuracies, request deletion, restrict processing, receive portable data, object to certain uses, withdraw consent, or opt out of sale, sharing, targeted advertising, or qualifying profiling. These rights can have exceptions, including records we must keep by law. We do not use website inquiries or public survey examples to make solely automated decisions that produce legal or similarly significant effects about you.
Use our contact page to make a request. Tell us the nature of the request and enough context to locate the information. Do not send identity documents or sensitive information unless requested through an appropriate method. We may need to verify your identity and, for an authorized agent, their authority. We respond within the period required by applicable law and explain any denial or limitation. Where an appeal right applies, you can use the same contact route to appeal our decision. We will not discriminate against you for exercising a protected privacy right.
If we process information for a survey organizer, we will direct your request to that organization or assist it as required. We may be unable to identify an individual response where it was collected without identifying information. You may also complain to the privacy or data protection authority responsible for your jurisdiction.
You can ask us to stop promotional communications. Necessary replies to your requests and service-related notices may still be sent.
10. Children and external services
Our services are intended for professional and organizational use, not directed to children under 16. We do not knowingly collect personal information from children under 16 through our marketing website. Contact us if you believe a child has provided information so we can review and take appropriate action. Customers must not use the service to collect information from children in violation of applicable law.
Other websites and services linked from our pages have their own privacy practices. A survey organizer is independently responsible for its use of results and any information it collects outside EngagementScores.
11. Changes and contact
We may update this policy as our services or legal requirements change. The date at the top identifies the current version. We will provide additional notice of material changes where required by law and obtain consent where a new use requires it.
